Sending emails and text messages

Sending Messages

Use the blue buttons at the top of the In-tray screen to send messages:

Send Email

Use this Action to start the wizard for sending an email. The wizard allows you to type your message, add recipients and add attachments.

This wizard guides you through the steps required to send an email. These steps consist of typing the message, adding recipients and adding attachments, as follows:
From - This indicates to the recipient of the message who the message is from. It defaults to the Company email address but you may select your own email address if appropriate.
Subject - Mandatory - Type text for the subject of the email.
Message - Optional - Type the message you wish to send.

Click Next to move on to adding recipients.
There are two ways of adding an email recipient:
Type the recipient's email address into the Address field then click the Add button. This method is usually used add a recipient whose email address is not stored within the LetMC system.

Click the Search button, search for and select the Staff Member, Landlord or Tenant required, then click the OK Action. This is the best method for adding a recipient whose email address is stored within the system, i.e. Staff Members, Landlords and Tenants.
Repeat for each required recipient.
Once a recipient has been added, you can select the recipient type by selecting 'To', 'CC' or 'BCC' from the Type drop-down list next to that recipient.

To remove a recipient from the list, tick the box next to the recipient and click Remove at the bottom of the list. Multiple recipients may be ticked and removed at once.
Click Next to move on to adding attachments.
There are two ways of adding an attachment to the email: Type the full filename, including its path, into the Choose a File field then click the Attach button.

Click the Browse button, search for and select the file to be attached and click the Open button (or just double-click the file), then click the Attach button.
Repeat for each attachment required.

To remove an attachment from the list, tick the box next to the attachment and click Remove at the bottom of the list. Multiple attachments may be ticked and removed at once.

Click Finish to send the email, otherwise click Cancel.

Send Email to tenancy

Use this Action to send an Email to all of the occupants of a property.

Send Text

Use this Action to start the wizard for sending a text message. This wizard guides you through the steps required to send a text message. These steps consist of typing the message and adding recipients, as follows:

From - This indicates to the recipient of the message who the message is from. It defaults to the Company text account but you may select your own text account if you have one and if appropriate.
Message Content - Mandatory - Type the message you wish to send. Click Next to move on to adding recipients.
There are two ways of adding a text recipient:
Type the recipient's mobile phone number into the Number field then click the Add button. This method is usually used add a recipient whose mobile phone number is not stored within the LetMC system.
Click the Search button, search for and select the Staff Member, Landlord or Tenant required, then click the OK Action. You will be informed if the selected person does not have a mobile phone number (or Text Account, for Staff Members) stored within the system. This is the best method for adding a recipient whose mobile phone number is stored within the system, i.e. Landlords and Tenants, and for Staff Members.
Repeat for each required recipient.

To remove a recipient from the list, tick the box next to the recipient and click Remove at the bottom of the list. Multiple recipients may be ticked and removed at once.
Click Finish to send the text message, otherwise click Cancel.

Send Text to tenancy

Use this Action to send a SMS text message to all of the occupants of a property.
